Operational Duties

  • Conducting weekly site visits and compiling bi-weekly site reports to the Board
  • Actioning all points as per the Site Report
  • Obtaining competitive quotes from service providers
  • Monitoring of work performed and verification of invoices from external providers
  • Managing the appointed service providers according to their service level agreements
  • Overseeing garden maintenance and security company
  • Ensure that service providers work in line with SLA’s
  • Assessment of preferred suppliers (plumbers, electricians, pool service, garden services, etc.)
  • Meet with contractors onsite as and when required
  • Purchase and distribution of consumables
  • Imposing of penalty levies through the appointed Managing Agent as per the registered Rules
  • Assistance in executing the approved 10-year maintenance plan – in the case of a Body Corporate
  • Addressing emails received within 24 hours
  • After-hours emergency number – available to all owners and residents

Administrative Duties

  • Processing of Access- and Movement Control forms between residents and the appointed security company
  • Processing of pet registration applications
  • Assisting owners / complex with the processing of insurance claims
  • Compiling conduct letters as and when required as well as the enforcement of penalty levies as per the approved Rules
  • Managing of Clubhouse Bookings

Meetings

  • Attending of Board meetings for feedback on operational aspects related to the scheme
  • Attending of Annual General Meetings (AGM) / Special General Meetings (SGM)
  • Actioning of operational related points logged at the trustee meetings
